BOARD OF TRUSTEES-AD HOC COMMITTEE MINUTES-LIBRARY DIRECTOR SEARCH
TUESDAY — JUNE 28, 2011 — 9:30 AM
ALACHUA COUNTY HUMAN RESOURCES CONFERENCE ROOM, 3RD FLOOR, COUNTY ADMINISTRATION BUILDING, 12 SE 1ST ST, GAINESVILLE, FL
Present: Ad hoc Committee Chair Kim Worley, Vice Chair Vivian Filer, and Dorothy Field
Other Present: Alachua County Human Resources Manager Kim Baldry, Alachua County Human Resources Generalist Janet Eicher, ACLD Administrative Services Administrator Suzi Blaze, ACLD Administrative Assistant Janice M. Scales, JoAnne Auth, and Carla Caudill.
Ms. Worley, Chair called the meeting to order at 9:30 am with a quorum present.
I. APPROVAL OF AGENDA
Ms. Field moved approval of the agenda. Ms. Filer seconded the motion. Motion carried.
II. APPROVAL OF APRIL 13, 2011 MINUTES
Ms. Filer moved approval of the Minutes. Ms. Field seconded the motion. Motion carried.
Ill. FINALIZE MATRIX, ASSESSMENT, AND QUESTIONS
Ms. Baldry began discussion recommending that the committee decide on the screening matrix so that each Ad Hoc Committee member will be screening applicants on the same criteria. Ms. Eicher circulated a draft matrix to the Ad Hoc Committee for beginning discussion. There was discussion about numerous questions, some which were considered appropriate for the matrix, and some more appropriate for an interview.
The committee agreed upon 6 matrix screening criteria. The successful candidates progressing to the Board of Trustees interview process must successfully meet all 6 criteria. The Ad Hoc committee agreed that 5 candidates should advance to the Board of Trustees Interview phase. Each Ad Hoc committee member will apply the matrix to all referred applicants. Ms. Eicher will indicate if there are any veteran preference candidates in the pool. Committee members will then forward their completed matrixes to Ms. Baldry by July 5, 2011. Ms. Baldry will call each committee member by phone for the names of their top 5 candidates (unranked) on July 5, 2011. If committee members do not provide the same 5 candidates names, or if more than 5 candidates successfully meet all 6 criteria, the Ad Hoc committee will need to meet on Wednesday, July 6, 2011, 9:30 am in the Alachua County Human Resources Conference Room, for discussion.
The Ad Hoc committee decided interview questions should be generated and approved by the full Board of Trustees. There is a special called Board Trustees meeting scheduled for July 11. Ms. Blaze will email Board of Trustees asking them on behalf of the Ad Hoc committee to bring suggested interview questions with them to the meeting. At that meeting, the Board of Trustees can finalize the interview questions. The possibility of including a case study oral presentation was discussed but the committee decided it might be more appropriate for the Governing Board to use a case study oral presentation with the 3 final candidates recommended by the Board of Trustees.
IV. CALENDAR UPDATE
The tentative July 6, 2011 Ad Hoc Committee Meeting-Library Director Search needs to be added to the calendar. Library Administration will notice the meeting.
