BOARD OF TRUSTEES MEETING MINUTES

WEDNESDAY – DECEMBER 19, 2012 - 5:30 PM

HEADQUARTERS LIBRARY FOUNDATION ROOM

401 EAST UNIVERSITY AVENUE, GAINESVILLE, FL

 

Present: Trustee Chair Vivian Filer (presiding), Trustees Sheila Dickison, Charmaine Henry, Xavier Monroe, Gloria Moore, Ora White, and Kim Worley.

Absent:  None.

Others present: Library Director Shaney T. Livingston, Administrative Services Division Director Debra Jackson, Administrative Services Administrator Maria Á. Colón, Financial Services Administrator Diana Sanchez, Assistant to Director Terry Rasch, Administrative Assistant Jan Scales, Public Relations & Marketing Manager Nickie Kortus, Staff Assistant Stephanie Ksionzyk, Friends of the Library President Peter Roode, Friends of the Library Vice President Ellen Smith, ACLD Foundation Chair Hunt Davis, and Joanne Auth.

 

I.                   APPROVAL OF AGENDA

Ms. Filer, Trustees Chair, called the meeting to order at 5:30 pm.

Trustee Worley moved approval of the Agenda. Trustee White seconded the motion. Motion carried.

                              

II.                  MINUTES OF MEETING

The Minutes of the November 14, 2012, Board of Trustees meeting were approved by consensus.

                              

III.                 GUESTS AND SPECIAL PRESENTATIONS

IV.                COMMITTEE REPORTS

 A.  Legislative Committee Report

Mr. Monroe and Ms. Filer reported that the Library Director presented a great synopsis of the Library District’s interests to the Alachua County Legislative Delegation on December 11, 2012.  The presentation focused particularly on support for the Public Library Construction Grants Program, State Aid to Public Libraries, and Multi-Type Library Cooperatives.  The Legislative Delegation did not give any indication of how the budget will fare next year.  Library District staff, Trustees, and Foundation and FOL members will plan to attend Library Day which will be held on March 12, 2013, in Tallahassee.

 B.  Friends of the Library (FOL) Report

Dr. Roode, FOL President, introduced FOL Vice President Ellen Smith.  Ms. Smith will attend the next Board of Trustees meeting in his stead.  Dr. Roode reported that the Friends gave a small donation to the City of Waldo for book giveaway bags for children this Christmas.  Ms. Worley thanked the Friends for their generous donation.  After about a month during which the Junior League used the Bookhouse for their annual toy sale, the Friends are now back to sorting donated books.

 C.  Foundation Board of Directors Report

Dr. Dickison informed the Trustees of the Non-Gala Event celebrating Charles Dickens’ birthday.  Dr. Davis, ACLD Foundation Chair, reported that 800 letters were sent out, and they have already received $2,800.  The Foundation also hopes to generate new members from this mailing.

The Foundation received a check from the Frey Foundation for $500 to be used for literacy efforts.  The donation will be used for the Snuggle Up center at the Cone Park Branch.

 

V.                 UNFINISHED BUSINESS

 A.  Library Director’s Performance Evaluation

Ms. Filer presented the item.  Dr. Dickison suggested that the last sentence of the letter be its own paragraph.  Ms. Worley moved approval of the compiled Board of Trustees Performance Evaluation of the Library Director as revised.  Mr. Monroe seconded the motion. Motion carried.  Mr. Monroe moved to forward the recommended evaluation to the Governing Board.  Dr. Moore seconded.  Motion carried.

VII.               INFORMATIONAL ITEMS THAT REQUIRE NO ACTION

 A.  Monthly Report (November 2012)

 B.  Library District Press Releases and Publicity

Ms. Livingston gave a brief overview of the press releases and publicity.

 C.  Alachua County Library District Governing Board Members

Ms. Livingston informed the Trustees that the new School Board Representative on the Governing Board is Dr. Leanetta McNealy and the two new Representatives from the Board of County Commissioners are Charles S. Chestnut, IV and Robert “Hutch” Hutchinson.  On December 13, 2012, the Governing Board elected Governor Lee Pinkoson Chair and Governor Bottcher Vice Chair.

 

VIII.             BOARD OF TRUSTEES COMMENT

Ms. Henry has been very impressed by all that the Library District does within the community and is pleased to be a part of the Board of Trustees.  She also thanked staff, particularly Youth Services Manager Be Astengo for helping to arrange a visit for students from two classes, along with their parents.

Dr. Dickison commended the Library Partnership for holding an Abuse Program.  The Library provides a very non-threatening place to ask questions and gain information.

Ms. Filer informed Trustees of plans to hold an all day reading of Zora Neale Hurston’s Their Eyes Were Watching God.

A moment of silence was held for the children and families of those affected by the Sandy Hook Elementary School shooting in Newtown, CT.
